Our office is located in Las Colinas, Texas. This position will have the following consideration:

Hybrid (preferred): Works regularly both onsite (currently 3+ days per week) and remote, resides within the headquarters office locality

Remote (will consider): Works primarily offsite, resides outside of the headquarters office locality within in the continental US


Job Description:

This role is primarily responsible for completing RFPs/RFIs/DDQs, including operational due diligence, client questionnaires and ad-hoc requests for institutional and retail clients and prospects for the firm's mutual fund products, and for assisting in the content management of the proposal library database.


As a member of the RFP/Due Diligence team, the Specialist / Sr. Specialist, RFP will collaborate with teammates and SMEs throughout the organization to gather information and ensure timely production and delivery of all responses/questionnaires, creating new content as necessary. Additionally, the Specialist will be responsible for assisting in the maintenance and organization of the library to enhance the architecture and optimize the search efficiency of the content. The Specialist works closely with SMEs to ensure timely reviews, updates, accuracy of content and overall quality control.


Key Responsibilities

  • Prepare responses to incoming RFPs/RFIs/DDQs reviewing and editing responses for clear messaging, grammar and formatting while adhering to departmental processes and procedures.
  • Communicate with SMEs on any proposal requirements, their role in the process and time expectations for completed responses to identified questions
  • Set and manages expectations with internal and external clients, resolve issues and develop consensus
  • Assist in maintaining master RFP library database by writing, editing, proofreading and preparing new and existing content
  • In coordination with SMEs, manage ongoing, quarterly content reviews of library database
  • Assist with quarterly updates and narratives in consultant databases; Oversight of data sharing with third party vendor
  • Complete ad-hoc assignments and participate in other team initiatives
  • Provide backup in managing the job tracker assignment tool
  • Develop and maintain in-depth expertise on the firm's products including new product launches
  • Keep abreast of technology enhancements including attending webinars/training sessions and keep team members abreast of critical elements and/or changes

Requirements

  • At least 5 years' experience writing, editing and preparing RFPs/RFIs/DDQs preferably in investment management
  • Prior content management experience preferred
  • Proficiency using a proposal automation software solution (Qvidian preferred)
  • Exceptional writing, editing, and proofreading skills, attention to detail and accuracy, as well as above-average analytical skills
  • Able to work efficiently and prioritize multiple projects in a deadline-driven, fast-paced environment
  • Must be a self-starter and able to work independently
  • Proficient with Microsoft Word, Excel and Adobe Acrobat
